Task 4a: KnowBe4 New Hire Phishing Training Registration

Purpose

To ensure all incoming CalHFA personnel (including full-time employees and external contractors) are enrolled in the mandatory information security awareness curriculum before finishing physical desktop deployment.

Prerequisites

• Master Onboarding Ticket must be in Open status with m365_account_assigned tag
• User active CalHFA email verified via Active Directory

Procedure

1. Locate New Hire Metadata: Copy Division, Unit, Cube Number from ticket
2. Access Security Console: Log into KnowBe4 with SSO credentials
3. User Creation: Navigate to Users > Add Users, input name and email
4. Group Mapping: Map to CalHFA Group based on division
5. Validation: Verify welcome email delivered to Outlook
6. Ticket Update: Add tag knowbe4_registered and task_4a_complete
